Post-It People Science Teams

Participants encode attributes like department, location, and interests onto a single sticky note using colors, torn corners, and simple icons. The facilitator then sorts notes on a wall into balanced working groups.

Choose this exercise

Purpose: Sort participants into balanced subgroups based on transparent, multi-factor criteria.

Use it when: Use when you need to form cross-functional small groups quickly while making the balancing criteria visible to everyone.

Skip it when: Skip when group assignment needs strict confidentiality, or when teams are already fixed.

Group arrangement: Individual note creation, followed by whole-room cluster sorting on a shared wall.

Timing: Source suggests 5 to 15 minutes; 15 minutes allows individual encoding, wall sorting, and brief subgroup check-in.

Materials and tools

Before participants arrive

  1. Post the visual encoding key prominently on the wall or screen.
  2. Distribute multicolored sticky notes and markers to tables.
  3. Designate a clear wall space divided into target group stations (for example, Team 1 through Team 4).

Say this to open

We are going to form balanced working teams using a simple visual code. Grab one sticky note. Follow the key on the board: choose your note color by department, tear a specific corner for your regional location, and draw a quick icon representing your primary work style or personal interest. Write your first name clearly in the center.

How to run it

  1. Explain encoding rules 3 minutes

    Display the visual coding key. Explain the three or four variables: note color for department or role, a specific torn corner for geographic location or office, an icon for interests, and a letter or word for background. Clarify that sharing any personal detail is strictly optional.

  2. Create personal notes 4 minutes

    Participants pick their colored note, tear the assigned corner, draw their chosen icon, and write their first name in the center. An explicit neutral example: an operations team member in the western office chooses a yellow note, tears off the top-left corner, and draws a book icon.

  3. Post and sort into teams 5 minutes

    Have participants post their notes in the designated team areas on the wall, aiming for diversity across colors and corner tears in each cluster. The facilitator or volunteer helpers adjust placements so each cluster has a balanced mix of colors and tears.

  4. Form groups and debrief 3 minutes

    Participants gather at their assigned cluster, introduce themselves, and review the distribution of roles and perspectives represented in their group. Close with two whole-room debrief questions.

Debrief questions

Finished output: A set of balanced small working groups formed on a shared wall with visible attribute distribution.

Remote

Use a digital whiteboard with pre-made sticky note shapes. Assign digital note colors for departments, use small digital corner badge stickers instead of physical tears, and have participants select an icon or emoji. Participants drag their notes into breakout group boxes on the digital board.

Hybrid

In-person participants create physical sticky notes on a central room wall. Remote participants create digital notes on a shared screen. A co-facilitator copies remote notes onto physical stickies or mirrors the physical wall onto the shared board so both cohorts see the balanced clusters.

Access and participation choices

If the session gets stuck

One department or color heavily outnumbers the others, making equal distribution impossible.
Acknowledge the imbalance openly. Place one person from the dominant group into every team first, then distribute remaining members evenly.
Participants misinterpret the torn corner code and tear arbitrary corners.
Provide a clear diagram on the visual key showing top-left, top-right, bottom-left, and bottom-right meanings. Let participants replace the note if they tore the wrong corner.
