Memorial Day Remember the Fallen

Choose this exercise

Purpose: Offer an explicit space for team members to share memories, acknowledge loss, or mark Memorial Day without mandatory personal disclosure.

Use it when: Around Memorial Day or similar remembrance occasions when a team wants a low-pressure ritual to honor fallen service members.

Skip it when: Avoid when the team needs an analytical task retro, when the group prefers strictly work-focused agendas, or when a light celebration is planned.

Group arrangement: Individual posting followed by whole-room silent reading and optional speaking turns

Timing: Matches the 15-minute duration listed in the original EasyRetro community template.

Materials and tools

• Self-adhesive sticky notes (1 pad per table)
• Dark fine-tip markers (1 per participant)
• Shared wall space, whiteboard, or bulletin board labeled 'Memories and Remembrances'
• Timer or digital clock visible to the room

Before participants arrive

1. Clear a section of the wall or whiteboard.
2. Write the title 'Memories and Remembrances' at the top of the wall.
3. Distribute sticky notes and markers to all seats.
4. If meeting online, create a digital whiteboard with a single column titled 'Memories and Remembrances'.

Say this to open

Welcome. In recognition of Memorial Day, we are dedicating the next 15 minutes to honor fallen service members, family, friends, or historical figures who gave their lives. You can write a name, a short memory, a photo reference, or a brief note of gratitude on a sticky note and post it on the board. Participation is entirely optional. If you prefer to sit quietly and read what others post, that is equally welcome.

How to run it

1. Introduce the space 2 minutes

   Explain the purpose of the board and define the open posting guidelines. Emphasize that writing, reading, or remaining in quiet support are all fully valid forms of participation. Clarify that posts can honor specific relatives, friends, unknown service members, or simply offer general respect.

2. Post memories and notes 5 minutes

   Participants write their notes silently and place them on the shared wall. Example note: 'Uncle Robert, Navy, 1968, remembered with gratitude.' Participants who choose not to write can stay seated or stand quietly near the board.

3. Silent gallery walk 4 minutes

   Invite the room to step up and silently read the posted notes. Keep the room quiet. Signal when 1 minute remains.

4. Optional spoken reflections 4 minutes

   Invite anyone who wishes to speak about their note to share in one or two sentences. Cap spoken contributions to 3 or 4 volunteers so the activity concludes on time. Close the session with a brief word of thanks to the group.

Finished output: A physical or digital remembrance wall containing posted names, stories, or notes of gratitude, with an option to leave the board visible through the holiday week.

Remote

Set up a shared digital board with a single section titled 'Memories and Remembrances'. Participants add cards or text asynchronously during the 5-minute writing phase. Set background music on mute or maintain quiet during the 4-minute reading phase. Use the hand-raise tool to invite up to 4 brief spoken reflections.

Hybrid

In-person members use physical sticky notes while a designated room volunteer enters identical cards onto the shared digital board, or invite all participants to post directly to the digital board from laptops or phones. Display the shared digital board on the main meeting room screen so both cohorts read the exact same wall simultaneously.

Access and participation choices

• Participants may post anonymously by not signing their notes.
• Posting is completely optional; individuals may choose only to observe or sit quietly without providing any explanation.
• Offer digital typing for participants who prefer not to handwrite.

If the session gets stuck

The room is uncomfortable or overly quiet after the instructions.

Remind everyone that quiet is expected and respectful for this topic. Do not force anyone to speak or fill the silence with banter.

A participant expresses intense personal grief during the spoken portion.

Acknowledge their contribution with simple respect, refrain from analyzing it, offer a brief pause, and continue smoothly without rushing them.
