Time Capsule

Participants document present learnings, goals, or reflections on cards and seal them into a secure container or digital folder to be reopened on a chosen future date.

Choose this exercise

Purpose: Record current perspectives and future intentions in a physical or digital vessel to compare actual progress against baseline expectations over time.

Use it when: Use at project milestones, cohort kickoffs, or end-of-year reviews where a team will stay together long enough to revisit their recorded expectations.

Skip it when: Skip for transient groups who will never meet again, or when participants lack physical or digital storage guarantees for keeping artifacts intact.

Group arrangement: Individual drafting followed by whole-room deposit into a central container

Timing: Participatory Methods suggests 40 to 60 minutes; this run sheet sets a tight 40-minute structure suitable for up to 24 participants.

Materials and tools

Before participants arrive

  1. Place the empty container, tape, marker, and label on a central table.
  2. Distribute one reflection card, one self-sealing envelope, and one pen to each seat.
  3. Check that the designated safe storage location exists and is accessible for the future opening date.

Say this to open

Today we are creating a time capsule for this group. You will write down what you want to remember about our work right now, what you hope we achieve, or a message to your future self. You can keep your writing private in a sealed envelope or share a sentence before placing it in the box. We will seal the container together and open it on our agreed date.

How to run it

  1. Introduce scope and define target date 5 minutes

    Explain the time capsule concept. Lead a short discussion to agree on the exact future date when the capsule will be reopened. Write the agreed date and storage location on the container label. Deliver the opening script.

  2. Individual reflection and writing 10 minutes

    Ask participants to work silently. Each person writes or draws reflections on their Time Capsule Reflection Card. Neutral example: 'I learned how to run our weekly pipeline, and I expect our team will cut handoff errors in half by November.' Participants who finish early place their card into their envelope and seal the self-adhesive flap to keep the text private.

  3. Deposit and optional sharing 15 minutes

    Call participants up one by one. For hybrid groups, alternate between in-person attendees coming forward and remote participants unmuting. Each person places their envelope or artifact into the box. Offer each person up to 30 seconds to say one headline aloud, or say 'deposit only' (or simply deposit silently) without speaking or disclosing content. Pack items neatly.

  4. Seal container and debrief 10 minutes

    Tape the container lid shut in front of the group using the sealing tape. Affix the date label. Ask 2 or 3 debrief questions to close the session, hearing from 3 or 4 volunteers. Place the sealed box in its designated storage location or assign an accountable custodian.

Debrief questions

Finished output: A sealed, dated container holding individual reflective cards and artifacts, stored in a designated spot with an assigned custodian.

Remote

Set up a restricted cloud folder with individual password-protected subfolders or a digital board with hidden cards. Give participants 10 minutes to upload a text document, photo, or note. Invite each person to optionally type a 1-sentence headline in chat, say a headline aloud, or type 'pass' to keep their entry completely private. Lock folder edit access, assign custody, and set a calendar invitation for the opening date.

Hybrid

Run a dual physical-digital container. In-person attendees place envelopes into the box; remote participants upload password-protected files into a designated secure cloud folder. During step 3, alternate between in-person attendees depositing into the box and remote attendees unmuting. Remote attendees may share a 1-sentence headline aloud or state 'deposit only' without reading or disclosing their submission.

Access and participation choices

If the session gets stuck

Participants write generic slogans rather than concrete reflections.
Remind everyone to include one specific detail about their present workflow and one measurable expectation for the future.
The team risks forgetting the container exists before the opening date arrives.
Create a shared calendar invite during step 4 before ending the session, naming the custodian and physical location of the box.
