Inspiring Check-Ins
Participants complete a brief three-part reflection sheet covering an intention, recent progress, and a next direction, then share one selected item in pairs.

Choose this exercise
Purpose: Establish personal focus and clarify current priorities at the start or close of a group work session.
Use it when: At the beginning or end of a meeting, workshop, or project cycle to align individual momentum with shared time.
Skip it when: When the group has an immediate practical crisis or lacks ten minutes for individual writing.
Group arrangement: Individual reflection followed by pairs and an optional whole-room round.
Timing: UWT suggested 15-minute duration to accommodate writing, paired sharing, and a short debrief.
Materials and tools
- One printed Inspiring Check-In worksheet per participant (or editable digital copy for remote participants)
- One pen or pencil per in-person participant
- A countdown timer visible to the facilitator
- Shared digital document or virtual whiteboard (for remote or hybrid delivery)
Before participants arrive
- Print one copy of the worksheet per person, or prepare the digital document link for remote participants.
- Place physical worksheets face down at each seat or arrange a central pickup table.
- Ensure writing instruments are available for all in-person participants.
Say this to open
Take a worksheet and a pen. We will spend four minutes writing down our current focus: an intention for today, one piece of recent progress, and a next direction. You decide how much detail to write, and you will only share what you choose.
How to run it
Introduce and write silently 4 minutes
Distribute the worksheets. Deliver the opening script. Start the four-minute timer. Participants write individually on their sheets. Give a one-minute warning. If someone finishes early, ask them to review their notes silently.
Pair and exchange 6 minutes
Ask participants to pair with someone sitting nearby. If there is an odd number of people, form one triad. Each person takes up to two minutes to share one chosen response from their sheet, or they may simply state 'I am ready' and pass. Signal the midpoint at three minutes so partners swap speaker and listener roles.
Gather plenary reflections 3 minutes
Bring the room back together. Ask one of the debrief questions: 'What common themes came up between you and your partner?' or 'How does naming your intention change how you approach today's work?' Take responses from two or three volunteers. Do not call on people individually or ask them to read private responses.
Close with a focused thought 2 minutes
Share a brief concluding thought or remind the group of the work ahead. Participants keep their worksheets for reference during the session.

Finished output: A completed three-part reflection sheet retained by each participant.
Remote
Distribute the worksheet prompts in advance via an editable digital document. Set a four-minute individual writing timer with cameras optional. Create breakout rooms of two people for six minutes. Bring everyone back to plenary for three minutes of shared observations in the shared text document or over voice.
Hybrid
Pair in-person participants with in-person partners. Pair remote participants with remote partners in breakout rooms. Use the shared digital text box for whole-room closing reflections so both groups see inputs simultaneously.
Access and participation choices
- Participants may type notes on a phone or laptop instead of handwriting.
- Sharing is voluntary; participants may choose which prompt to share, summarize in broad terms, or pass without explanation.
If the session gets stuck
- A participant does not want to disclose private project or personal details.
- Remind the group before paired sharing that they choose what to say and may speak in broad, general terms or pass.
- One person dominates the paired discussion.
- Announce the halfway time check clearly at three minutes and explicitly tell pairs to switch who is speaking.
