United We Transform | Facilitator run sheet
Rapid Review
Participants recall key concepts from a training session in a brisk, around-the-room whip-around while the facilitator scribes. The group briefly discusses unexpected items and selects one personal takeaway.
10 minutes | 4 to 24 people
Choose this exercise
Purpose: Prompt participants to retrieve and record major concepts covered in a training block before a break or topic transition.
Use it when: Use directly before a scheduled break or at the close of an information-heavy module to check retention.
Skip it when: Skip if the session has just begun or if the topic requires private emotional reflection rather than factual recall.
Group arrangement: Whole group whip-around followed by silent individual capture
Timing: UWT suggested duration based on the source 5 to 15 minute band.
Materials and tools
- 1 flipchart pad or whiteboard
- 2 dry-erase or flipchart markers
- Scratch paper and pens for individual participant notes
Before participants arrive
- Position the flipchart or whiteboard where all participants can clearly see it.
- Write the heading Training Recall across the top of the blank sheet.
Say this to open
We have covered a lot of ground so far. Let us do a rapid review to check what stands out. I will go around the room. When it is your turn, share one word or short phrase that represents a key idea from this session. I will write them down as fast as you say them. You can pass if you need to.
How to run it
Introduce the whip-around 1 minutes
Deliver the opening script. State the direction the turn-taking will follow around the room so people know when they speak.
Capture rapid recall items 4 minutes
Move briskly through the room. Each person states one key word or short phrase. Scribe each contribution verbatim on the flipchart. Acknowledge with a quick verbal cue like 'Got it, next' to maintain pacing. Anyone who prefers not to speak aloud may say 'Pass' without explanation.
Examine highlighted ideas 3 minutes
Point to the recorded list. Ask two focused questions to the room: Which point on this list surprised you or slipped your mind until someone named it? Why might that concept have faded during the session? Take two or three brief comments from volunteers.
Select personal priority 2 minutes
Direct participants to review the board and silently write down one specific item from the list into their own notes or action log. Explain that this note is for their own reference.
Debrief questions
- Which concept named by a peer was easiest to forget, and why did it slip?
- Looking at our full board, what important topic from our session is still missing?
Finished output: A flipchart list of recalled training concepts and one chosen takeaway written in each participant's personal notes.
Remote
Use a shared digital whiteboard or text document visible on screen share. Call names in a posted roster order. Each participant either speaks their word or types it in the meeting chat for the facilitator to paste onto the board. Individuals type 'Pass' in chat if they choose not to contribute.
Hybrid
Establish an alternating order between in-room participants and remote attendees. Display the shared digital whiteboard on the in-room projector and through video screen share so all participants see the running list in real time. Remote participants use microphone or chat.
Access and participation choices
- Participants may say 'Pass' or type 'Pass' without giving a reason.
- Participants who prefer not to speak aloud may write their contribution on scratch paper to hand to the facilitator or enter it into the chat.
- Personal notes recorded in the final step remain private.
If the session gets stuck
- A participant hesitates and freezes when their turn arrives.
- Say 'No problem, take a moment or pass,' and immediately move to the next person to remove public pressure.
- Participants offer long, detailed stories instead of single concepts.
- Interrupt gently with 'Give me just the headline word or three-word phrase so I can capture it on the board.'
Terms used here
- Whip-around: A fast facilitation sequence where every person in order contributes a brief, single-item response.
