Question Balloons

Participants write their topic questions on floating balloons and pop or untie them when satisfied by an answer. Remaining balloons are answered or assigned during the closing review.

Choose this exercise

Purpose: Track and resolve participant questions visually throughout a presentation or meeting.

Use it when: Lengthy presentations, product reviews, or briefings where audience questions accumulate and risk going unanswered.

Skip it when: Quiet environments where sudden loud noises cause disruption, or settings where latex allergies or ceiling restrictions prevent balloon use.

Group arrangement: Individual posting with whole-group resolution

Timing: UWT suggested duration for opening setup and the dedicated end-of-session clearing step, running alongside a main presentation.

Materials and tools

Before participants arrive

  1. Inflate helium balloons and tie a long ribbon to each so people can retrieve them from the ceiling.
  2. Check room ceiling height and verify no latex or loud-noise bans apply to the venue.
  3. Distribute 1 to 2 balloons, one marker, and one pin to each seat before participants arrive.

Say this to open

You each have balloons and a marker. As we begin our session, write one question you want answered on a balloon and let it float to the ceiling. Make sure the ribbon hangs down so you can reach it. When your question is answered today, pull it down and pop the balloon or snip the ribbon. Any balloons left floating at the end will be answered together before we close.

How to run it

  1. Float initial questions 3 minutes

    Distribute attention to the prompt. Participants write one question per balloon using their marker. Example: 'What is our go-live date?' or 'Who approves team budgets?' Participants release the balloon to float up to the ceiling, ensuring the dangling ribbon remains reachable for retrieval later. Extra balloons can be held for later questions.

  2. Monitor and answer in flight 2 minutes

    During presentation delivery or discussion, participants pull down their balloon and pop it with a pin, or quietly deflate it, as soon as an adequate answer is given. The facilitator acknowledges resolved questions briefly without halting the main agenda.

  3. Harvest remaining balloons 7 minutes

    Call time on the main presentation. Have everyone retrieve remaining floating balloons. Separate them into factual questions and discussion questions. Answer straightforward factual items directly. Open broader discussion questions to the group for brief input. As each question is resolved, the owner pops or deflates their balloon.

  4. Document and debrief 3 minutes

    Assign any unresolved questions to an owner with a target date. Conduct a brief whole-group check on remaining uncertainties.

Debrief questions

Finished output: A cleared ceiling of answered questions, with any unresolved questions recorded and assigned to specific owners.

Remote

In an online meeting, use a digital whiteboard with balloon icons. Each person creates an icon labeled with their question. When answered, the author deletes the icon or moves it to a 'Resolved' box. The facilitator reviews remaining icons in the final ten minutes.

Hybrid

In-person attendees float physical balloons; remote attendees post digital balloon notes on a shared board projected in the room. When answering questions in the final review, alternate between a physical balloon and a digital note.

Access and participation choices

If the session gets stuck

A balloon pops unexpectedly and startles participants during a critical speaking moment.
Remind the group that pops are signals of progress, pause briefly to acknowledge the resolved point, and resume.
Balloons drift out of reach due to very high ceilings.
Tie long ribbons with small anchor weights or tape ribbons loosely to desk edges so ribbons remain reachable.
