Choose this exercise

Purpose: Check communication clarity by listening to an unvarnished participant recap of recent content.

Use it when: Directly after a dense 10 to 15 minute presentation segment, complex briefing, or detailed planning block.

Skip it when: Skip during personal evaluations, high-stakes negotiations, or when nobody has presented new information yet.

Group arrangement: Whole group with one rotating volunteer speaker

Timing: Relationship Makers Handbook suggests under 5 minutes per cycle.

Materials and tools

• Timer or stopwatch visible to the facilitator
• Scratch paper and pen for the presenter to note gaps

Before participants arrive

1. Deliver a substantive block of discussion or presentation lasting 10 to 15 minutes before running this activity.
2. Have a timer ready to run a 60-second countdown visible to the speaker.

Say this to open

I need one volunteer for Play It Again. Your job is simple: give us your personal playback of what you heard in under 60 seconds. You cannot fail. You are completely absolved of any wrong interpretations. If you missed something, that tells us the presentation missed something. Who wants to take this round?

How to run it

1. Recruit and absolve volunteer 1 minutes

   Speak the opening script to ask for one volunteer. Explicitly state that the volunteer cannot fail and holds zero responsibility for misinterpreting information. If no one offers within ten seconds, step in to model the playback yourself or invite a co-presenter to speak.

2. Deliver 60-second playback 1 minutes

   Start the 60-second timer. The volunteer speaks their recap without interruption until time expires or they choose to stop. For example, a volunteer might say, We agreed to ship the report by Friday, but I am not clear on who signs off. No one corrects them during the playback.

3. Evaluate communication gaps 2 minutes

   Thank the volunteer. Ask the room which parts of the presentation registered clearly and which essential details were missing or misunderstood. Invite two or three short comments. The presenter notes missing points on paper without debating.

4. Clarify and release 1 minutes

   The original presenter takes 60 seconds to clarify the top missing or confused items. Confirm that the volunteer is relieved of this role for the rest of the meeting, though they may participate normally.

Debrief questions

• Which parts of our message came through with zero distortion?
• What critical points were left out, and how can the presenter state them more clearly next time?

Finished output: A spoken playback identifying clear points versus missing details that the presenter immediately clarifies.

Remote

Run in the main video room. Have the volunteer unmute while others mute. Share a digital countdown timer on screen or post 30-second and 10-second warnings in the chat. Participants type noticed gaps into the chat during the gap evaluation step.

Hybrid

Alternate volunteers between in-room and remote attendees across different meeting sections. Ensure room microphones capture in-person speech clearly for online listeners, and broadcast the digital timer onto both the room screen and virtual share.

Access and participation choices

• Participants may decline to volunteer without giving any justification.
• A volunteer may choose to type their quick playback into chat or read prepared bullet points instead of speaking off the cuff.

If the session gets stuck

No participant offers to volunteer.

Never force or single out an attendee. Run the playback yourself as facilitator, summarizing what you heard to identify gaps.

The volunteer apologizes for missing information or feels defensive.

Intervene immediately and reassert that omitted details highlight presentation blind spots, not listener inadequacy.
