One Simple Post-It for Success
Participants write one concrete task on a sticky note using a three-part structure, post it on a wall, and review mutual priorities.

Choose this exercise
Purpose: Write and display a single specific action item for immediate accountability.
Use it when: At the start or close of a working session when individuals need to choose one clear, actionable next step.
Skip it when: When the team needs broad open-ended brainstorming or complex multi-step project planning.
Group arrangement: Individual writing, whole-room posting, pairs or whole-room review
Timing: Source indicates under 5 minutes; UWT expands to 10 minutes to allow realistic drafting, posting, and pairing.
Materials and tools
- One pad of 3x3 sticky notes (at least 2 notes per person)
- One medium-point felt-tip pen or marker per person
- Wall space or whiteboard for posting
Before participants arrive
- Draw or post the note format example visibly at the front of the room: Task Name, Specific Next Action, Definition of Done.
- Distribute sticky notes and markers to each seat.
Say this to open
Take one sticky note. We are going to choose one concrete task to complete today. Look at the example on the wall: at the top, write the short task name. In the middle, write the single next physical action you will take. At the bottom, write what done looks like. Keep it small enough to finish today.
How to run it
Introduce the format 2 minutes
Display the template. Give this neutral example: Task: Draft client email. Action: Open inbox and type first three bullet points. Done: Draft saved in drafts folder. Give participants 30 seconds to choose their focus.
Write notes silently 3 minutes
Everyone writes their single task silently on their sticky note. Offer extra notes to anyone who wants to rewrite. Writing ends when pens are down.
Post on the shared board 2 minutes
Invite participants to stick their note on the designated board. Participants may post their note visibly, or keep it on their own desk if they prefer not to share publicly.
Pair review and debrief 3 minutes
Ask participants to turn to a neighbor and share their chosen action in 60 seconds each. Call on two volunteers to share their action with the room. Close the activity.
Debrief questions
- What made a task small enough to feel immediately doable?
- How clear is your definition of done to an outside observer?
Finished output: A board of individual, concrete task commitments, or personal sticky notes kept at workstations.
Remote
Use a digital whiteboard with pre-created digital sticky notes containing the three prompts. Participants fill out their note in 3 minutes, move it to a shared grid, and share with a partner in 2-person breakout rooms for 2 minutes.
Hybrid
In-person participants post physical notes on a dedicated board. Remote participants post on a shared digital board displayed on the room screen. A co-facilitator or designated buddy reads out digital entries if needed, and hybrid pairs share via room chat or direct video link.
Access and participation choices
- Participants may type their task on a phone or private notebook instead of using handwriting.
- Posting to the public board is optional; participants may keep their note at their own workspace without explanation.
If the session gets stuck
- A participant writes a huge project goal like 'Launch new product website.'
- Ask them to identify the very next 15-minute physical action toward that goal, such as 'Outline five navigation tabs on paper.'
- Participants crowd the board all at once.
- Ask rows or tables to post in sequence, or have one person collect and post notes for their table.
Terms used here
- Definition of Done: The visible criteria that confirm a task is completely finished.

Retained the core mechanic from Relationship Makers Handbook: silent individual writing on a sticky note, public posting, and sharing. UWT set duration to 10 minutes to make drafting and pair review realistic, removed coercive peer-pressure language and colored punishment systems, added a three-part task template, and added private participation options.
