History of the Future
Participants map events and milestones across past, present, and future timeframes using thematic swimlanes on a shared wall. The room posts color-coded notes across the categories and synthesizes transitions together.

Choose this exercise
Purpose: Map historical events, current realities, and future projections onto a shared visual timeline to align group context.
Use it when: Use during strategy kickoffs, team resets, or retrospectives where groups need to link past track records to future planning.
Skip it when: Skip when the focus is strictly on immediate tactical tasks or when participants do not share a common project, organization, or domain.
Group arrangement: Individual note generation followed by whole-room posting or quick plenary readout.
Timing: Source indicates 15 to 30 minutes; 25 minutes allows silent generation, placement, reading, and debrief.
Materials and tools
- Large roll of butcher paper or wide whiteboard space
- Sticky notes in three distinct colors (yellow for past, green for present, blue for future; 6 notes per person)
- Broad-tip markers (one per participant and one for facilitator setup)
- Fine-point markers (available at tables for optional detail writing)
- Painter's tape for mounting paper
- Laptops or tablets for participants (hybrid only)
Before participants arrive
- Select boundary years before the session based on context (for example, 3 years back to 3 years forward, or 2021 to 2027).
- Select 2 to 4 swimlane categories tailored to the gathering (for example: Culture, Technology, Products/Services, Partnerships).
- Mount butcher paper on a wide wall. Draw three vertical columns labeled Past (with starting year), Present (current year), and Future (target future year).
- Draw horizontal rows across the columns and write the chosen category name clearly on the left margin of each row to form labeled swimlanes.
Say this to open
Today we are building a shared visual timeline from where we started to where we are heading. On the wall you will see swimlanes across three time periods: our past, our present, and our future. Your task is to write up to two notes for each time period, for a total of up to six notes, placing them into the category where they belong. Contribute where your experience applies.
How to run it
Introduce timeline and swimlanes 3 minutes
Point out the boundary years and the clearly labeled swimlane categories. Distribute broad-tip markers to all participants, place fine-point markers at tables for optional detail work, and hand out three colors of sticky notes (yellow for past, green for present, blue for future). Read the opening script.
Write individual observations 6 minutes
Ask participants to write silently on their color-coded sticky notes. Invite everyone to write concrete milestones, events, or plans across past, present, and future rows. For example, under Technology in Past: 'Migrated to cloud storage'; under Future: 'Automated weekly intake reporting'. Have participants keep ideas to one per sticky note.
Post and review the timeline 9 minutes
Have everyone stick all their notes onto the board during the first 2 minutes. If fewer than 15 people are present, spend the remaining 7 minutes having each person highlight one or two key items from their wall postings in 25 seconds. If 15 or more are present, spend the remaining 7 minutes doing a silent visual gallery walk.
Synthesize and debrief 7 minutes
Facilitate a group review pointing out recurring patterns, empty swimlanes, and shifts from past to future. Take up to 4 comments from the room using the debrief prompts.
Debrief questions
- Which swimlane shows the biggest shift between what we did in the past and what we expect in the future?
- Where do you see gaps or empty spaces across the timeline that require more planning?
- How do our past experiences help or hinder the future milestones we placed on the board?
Finished output: A completed multi-lane timeline showing chronological milestones, present activities, and future goals.
Remote
Set up a shared digital whiteboard with three vertical columns (Past, Present, Future) crossed by horizontal swimlanes labeled by category. Assign distinct digital sticky note colors for each period. Spend 3 minutes introducing the board, 6 minutes writing silently, 9 minutes posting and reviewing (under 15 people do 25-second readouts; 15 or more do silent reading), and 7 minutes of verbal synthesis using the debrief questions.
Hybrid
Run the exercise entirely on a shared digital whiteboard. In-person participants bring laptops or tablets and add digital notes alongside remote attendees. Display the live board on the room projector so everyone views the same shared canvas in real time. For verbal sharing, alternate between in-person and remote speakers.
Access and participation choices
- Fine-point markers and table seating are available for anyone who prefers writing while seated rather than standing at the wall.
- Participants may post notes without speaking publicly, or choose to contribute to only one or two time periods if newer to the team.
If the session gets stuck
- Participants bunch around the wall and block access for others.
- Ask half the room to post their past and present notes first, while the other half prepares their future notes, then swap.
- Notes are vague or lack context (for example, simply saying 'Growth').
- Provide a concrete prompt: 'Write what actually changed, such as doubled team size from 5 to 10 or launched client portal v1'.
