United We Transform | Facilitator run sheet

Circular Conversations

Participants walk in a circle and stop on a signal to discuss a prompt with their nearest neighbor. They repeat the rotation across several rounds to speak with different partners before a brief whole-room reflection.

15 minutes | 6 to 24 people

Choose this exercise

Purpose: Exchange perspectives and build familiarity across a group through brief, standing pair conversations.

Use it when: Use at the start of a session or after sitting for long periods when participants need physical movement while exchanging ideas.

Skip it when: Skip when the meeting room lacks floor space for comfortable walking or when background noise makes simultaneous standing conversations impractical.

Group arrangement: Rotating pairs within a shared room circle; groups of three if numbers are odd

Timing: Source suggests 15 to 30 minutes; UWT plan sets a compact 15-minute run for up to 24 participants.

Materials and tools

Before participants arrive

  1. Clear chairs and tables to leave an open central perimeter where everyone can walk safely.
  2. Display or cue the prompts so they can be shown one at a time.

Say this to open

We will get on our feet for Circular Conversations. When the chime rings, everyone will walk in the same direction in a large circle. When the chime sounds again, stop and turn to the person nearest you. I will announce a prompt. You and your partner will have two minutes to share your thoughts. If you have an odd group out, make a trio. You can share as much or as little as you like, or pass entirely.

How to run it

  1. Introduce movement and pairings 2 minutes

Explain the movement rules, the stopping signal, and pair formation. Remind participants that if someone needs to remain seated, partners can walk over to them when the signal sounds.

  2. Run round one 3 minutes

Ring the chime. Participants walk in a circle for 30 seconds. Ring the chime again. Participants pair up with the nearest person. Read prompt 1: 'What is something you enjoy doing in your free time?' Give pairs 2.5 minutes to talk. Ring the chime to end the round.

  3. Run round two 3 minutes

Participants walk again in the circle for 30 seconds, walking in the opposite direction or varying their pace to find new neighbors. Ring the chime. Participants pair with a different person. Read prompt 2: 'What is a memorable moment from your recent work or life?' Allow 2.5 minutes for conversation.

  4. Run round three 3 minutes

Participants resume walking for 30 seconds. Ring the chime. Participants pair with a third distinct partner. Read prompt 3: 'What is a topic or skill you are motivated to learn more about right now?' Allow 2.5 minutes for conversation.

  5. Reflect as a group 4 minutes

Ask participants to pause in place or return to their seats. Invite two or three volunteers to share an interesting point or common theme they heard during their exchanges.

Debrief questions

Finished output: Completion of three brief peer dialogues per participant, with volunteer observations shared whole-room.

Remote

Run via video conference using randomized 2-person breakout rooms. Set each breakout to 2.5 minutes, returning to the main room for 30 seconds between rounds to post the next prompt in chat before dispatching the next breakout.

Hybrid

In-person participants walk and pair in the room. Remote participants are paired together in digital breakout rooms on the same timer. A facilitator in the room broadcasts the prompt to both groups simultaneously.

Access and participation choices

If the session gets stuck

Odd number of participants leaves one person without a partner.
Form one group of three at the stopping chime and allow an extra 30 seconds if needed, or invite the spare participant to pair with the facilitator.
Participants keep talking to the same neighbor every round.
Instruct the group to reverse walking direction on alternate rounds or call out 'walk five steps past your previous partner' before stopping.

Retained the walking circle mechanic, stop-signal pairing, and conversational prompts from Participatory Methods. Structured into a fixed 15-minute format with explicit round timings, access options for seated participants, and clear hybrid and remote procedures.
