End of Year Retrospective

Participants review calendars and notes to log objective events from the past year, assess what those events meant personally or professionally, and identify key habits and accomplishments to target for the year ahead. Working individually and then in pairs, people share only what they choose before closing with a group round.

Choose this exercise

Purpose: Identify significant events, personal takeaways, and future priorities across an annual cycle.

Use it when: Use at the close of an annual cycle or major milestone during team reflection or personal development planning.

Skip it when: Skip during urgent sprint crises or when a team has operated together for less than a few months.

Group arrangement: Individual quiet work, followed by pairs, then a whole-group share

Timing: UWT suggested time. The source provides prompts and guidelines but no set duration.

Materials and tools

Before participants arrive

  1. Print worksheets and place one with a pen at each seat.
  2. Remind participants in advance to bring their calendars, journals, or task trackers to review.

Say this to open

Welcome. Today we will reflect on the past year and identify what we want to carry forward into the next. We will work through three prompts: what happened, what it meant, and what the coming year could look like. You will use your calendars or notes to pull factual data first. You will choose what you share with others, and you are welcome to keep any personal reflections private. Let us begin with individual reflection.

How to run it

  1. Introduce and review timeline data 5 minutes

    Deliver the opening script. Ask participants to silence notifications and open their calendars or notes. Give an explicit neutral example of the first prompt: recording 'Completed client rollout in March' or 'Moved apartments in July' rather than an evaluation like 'March was terrible.'

  2. Complete silent reflection worksheet 15 minutes

    Participants work silently on their three worksheet sections: 1) What happened (neutral facts), 2) What this year meant (firsts, accomplishments, joy), and 3) What next year could mean (habits to maintain, future accomplishments). Announce time checks at 10 and 5 minutes remaining. Participants write at their own pace and mark any items they wish to keep confidential.

  3. Share in pairs 15 minutes

    Instruct participants to pair with a neighbor. If there is an odd number, form one group of three. Pairs take turns sharing selected items from sections 2 and 3 for 7 minutes each (or 4 minutes each for a trio). Remind participants they may pass on any question or share high-level summaries without private details.

  4. Harvest insights and debrief 10 minutes

    Reconvene the full group. Invite 4 to 6 volunteers to share one habit they plan to keep or one key insight from their reflections. Facilitate the debrief questions within the allotted time.

Debrief questions

Finished output: Completed individual reflection worksheets with identified future habits and targeted accomplishments.

Remote

Use an online whiteboard with private individual frames or distribute a digital copy of the worksheet via shared drive. Keep microphones muted during the silent writing phase. Send pairs into breakout rooms for 15 minutes. Regroup in the main channel for final verbal shares using the hand-raise queue.

Hybrid

Remote and in-person participants each receive the digital worksheet. In-person participants work at tables while remote attendees work at their desks. For the sharing phase, pair remote attendees with remote attendees in breakout rooms, and in-person attendees with in-person partners. Conduct the debrief in the main room with in-person audio connected to the call.

If the session gets stuck

Participants struggle to remember events from earlier in the year.
Direct them to their email outbox, project management logs, or digital calendar search for specific months like January or June.
A participant feels uncomfortable sharing personal life events in a professional setting.
Remind the group that reflections can focus purely on work projects, professional growth, or team milestones.
