Active Listening Structured Sharing
Pairs take turns speaking to a prompt while their partner listens without interruption. Listeners then reflect back the core points using structured prompt cards before swapping roles.

Choose this exercise
Purpose: Practice focused listening without interrupting, evaluating, or offering unsolicited advice.
Use it when: Use when starting communication skills training or before sensitive project discussions where team members need to hear one another accurately.
Skip it when: Skip when the group needs rapid brainstorming or when participants lack the psychological safety for personal reflection.
Group arrangement: Pairs, with one trio if the total is odd. Trio roles rotate A speaker/B responder/C observer, then B/C/A, then C/A/B; anyone may pass or remain an observer.
Timing: UWT 15-minute delivery plan: 2 minutes to assign roles, 8 minutes for two speaking-and-reflection rounds, then 4 minutes for the final trio rotation or pair reflection, and 1 minute for a shared debrief. Playmeo lists a 5-10 minute core exercise; these timings are UWT choices.
Materials and tools
- One printed Active Listening Prompt Card per pair or trio
- One timer or visible clock for facilitator use
- For remote or hybrid delivery: a video meeting with breakout rooms, the prompt card and questions available as text, and a visible timer in each group.
- For hybrid delivery: an individual device and headset for every participant, with enough spacing to avoid overhearing or audio feedback; turn off shared room microphones and speakers.
Before participants arrive
- Print and cut one Active Listening Prompt Card for each pair or trio.
- Arrange chairs so partners can face each other without crowding.
- For remote or hybrid delivery, assign the full roster to pairs and at most one trio before the clock starts, regardless of location. Test each device, headset and breakout room. Do not use a hybrid split that leaves one attendee alone.
Say this to open
We will practice listening without interrupting, fixing, or judging. You will work in pairs or trios. One person speaks for two minutes about a simple question. The listener listens silently. When the timer sounds, the listener uses the prompt card to reflect back what they heard.
How to run it
Pair and assign initial roles 2 minutes
Divide participants into pairs. If an odd number is present, create one trio. Hand one Active Listening Prompt Card to each group. In pairs, designate Person A as speaker and Person B as listener. In a trio, Person A speaks, Person B is the designated listener responder, and Person C serves as a silent observer. Read the opening script.
Round 1 speaking 2 minutes
Announce prompt 1: 'What is something you are looking forward to this month, and why?' Speaker A speaks for two minutes. Listeners remain completely silent. Offer nonverbal attention like nodding, but give no verbal interruptions, advice, or side stories.
Round 1 structured reflection 2 minutes
Listener B uses the card prompts to summarize Speaker A's message aloud. For trios, Listener B delivers the reflection while Observer C listens silently. Listener B follows the three steps: paraphrase, reflect emotion, and check accuracy. Speaker A confirms or clarifies within 30 seconds.
Swap roles and Round 2 speaking 2 minutes
Participants swap roles. In pairs, Person B speaks and Person A listens. In a trio, Person B speaks, Observer C becomes the designated listener responder, and Person A becomes the silent observer. Announce prompt 2: 'What is a work or personal project that has been on your mind recently?' Speaker talks for two minutes while others listen silently.
Round 2 structured reflection 2 minutes
The new listener (Person A in pairs; Person C in trios) delivers the reflection using the prompt card. The speaker confirms or clarifies within 30 seconds.
Complete the trio rotation and close 5 minutes
For the first four minutes, each trio completes its final rotation: C chooses either earlier question and speaks for two minutes, then A reflects using the card for two minutes, including C's clarification within 30 seconds. B observes. Pairs use those four minutes to discuss the debrief questions privately. For the last minute, bring everyone together and invite at most two brief, voluntary observations. Anyone may pass on a turn or remain an observer.
Debrief questions
- What was challenging about staying silent while your partner spoke?
- How did it feel to have someone reflect your thoughts back before responding?
- Where would this structured listening style help your everyday communication?
Finished output: Each participant is offered a speaking turn and a structured listening-reflection turn. Those who choose both roles complete both; passing or observing is valid.
Remote
Use the preassigned pairs and trio in breakout rooms. Share the prompt card and questions as text. After the 2-minute introduction, broadcast the four 2-minute speaking/reflection phases. At minute 10, pairs reflect together while trios run C speaking for 2 minutes and A reflecting for 2 minutes, with B observing. Return everyone at minute 14 for the final 1-minute shared debrief. Each group uses a visible timer; broadcasts announce phases rather than adding time.
Hybrid
Use the remote procedure with the full roster assigned to pairs and at most one trio, regardless of location. Every attendee uses an individual device and headset in the assigned breakout room. Space in-room attendees apart and turn off shared room audio to prevent feedback. Make the card and questions available to everyone as text. Return all devices to the main room for the final minute; use one speaker at a time. If the equipment or private listening space is unavailable, use a single delivery setting instead.
Access and participation choices
- Participants may choose any low-stakes answer or decline to share sensitive personal details.
- Partners may write or type reflections instead of speaking aloud if needed.
- Any participant may choose to act purely as an observer.
If the session gets stuck
- The listener interrupts to agree or tell their own story.
- Remind the group that active listening requires withholding response until the speaker has finished their allotted time.
- The speaker runs out of things to say before the two minutes end.
- Instruct the pair to sit in comfortable silence; often the speaker will think of additional thoughts after a quiet pause.
