Choose this exercise

Purpose: Select and schedule a shared social or rest activity for an early departure day using group consensus.

Use it when: Use when leadership grants permission to shorten a workday and the team needs to agree on an offsite, social event, or clean early release.

Skip it when: Skip when team coverage requires staggered shifts, or when leadership requires individual early departures with no shared event.

Group arrangement: Small groups of 3 to 6 for option sorting, followed by whole-room selection.

Materials and tools

Before participants arrive

  1. Confirm management approval for the exact departure time and budget limit.
  2. Print Category Selection Sheets or open the shared digital matrix.
  3. Write the departure date and time window clearly at the top of the room board.

Management approved an early finish for our team on our target date. We have 25 minutes to look at activity types, check what fits our group, and lock in our plan. You may choose an organized social outing, a shared low-key activity, or an immediate individual release home.

How to run it

  1. Introduce boundaries and options 4 minutes

    State the agreed departure time, budget per person, and logistical constraints. Distribute the Category Selection Sheet to groups of 3 to 6.

  2. Review and filter options in small groups 8 minutes

    Small groups review four broad tracks: Shared Meal or Social Outing, Low-Key Relaxation or Culture, Active Outing, and Clean Early Dismissal. Groups eliminate any track that excludes someone or exceeds constraints, then rank their top two choices.

  3. Consolidate preferences whole room 8 minutes

    Facilitator collects the top choices from each table on the whiteboard. If consensus emerges, confirm it. If views split between a social outing and immediate dismissal, separate the schedule so attendance at the outing is optional and non-attendees leave directly.

  4. Assign logistics and confirm departure 5 minutes

    Record logistics: meeting place, arrival time, transport plans, and emergency work handoffs. Assign owners for each logistical item and confirm that work obligations end strictly at the target hour.

Debrief questions

Finished output: A confirmed plan and timeline for the early departure day with assigned logistical owners.

Remote

Run via video meeting. Put the four category tracks into a shared collaborative document or poll. Use breakout rooms of 3 to 6 people for 8 minutes to choose preferences, then return to main room to tally results and decide the schedule.

Hybrid

In-person groups discuss at tables while remote attendees form their own virtual breakout. All participants submit their top two preferences into the same shared online document before whole-room consolidation.

Access and participation choices

If the session gets stuck

Team splits evenly between wanting an organized party and wanting to go home immediately.
Decouple the plan. Set the early dismissal time so those who wish to leave can go home directly, while those who want to socialize gather at the chosen venue.
Participants fear lingering tasks will prevent them from actually leaving on time.
Spend the final step identifying coverage protocols and setting an explicit 'tools down' signal 15 minutes before the departure time.
