# Sprint Retrospective Action Output

A team inspects its completed sprint, clusters observations on what went well and what needs improvement, and commits to one or two concrete actions for the next cycle.

**Time:** 55 minutes. UWT suggested 55-minute run based on standard retrospective patterns in EasyRetro guidance.
**People:** 3 to 12. Individual reflection, optional paired formulation, and whole-team prioritization.

## Choose this exercise

**Purpose:** Produce one or two prioritized, clearly assigned process improvements for the upcoming sprint backlog.
**Use it when:** At the conclusion of an iteration when a team needs to examine internal dynamics and workflow before next sprint planning.
**Skip it when:** Skip during daily standups, or during product demonstrations to external clients, which belong in a sprint review instead.

## Materials and tools

- Sticky notes (three distinct colors: green, orange, blue; 1 pad of each per participant)
- Black felt-tip markers (1 per participant)
- Painter's tape or whiteboard markers
- Dot stickers for voting (3 stickers per participant)
- Digital countdown timer
- Wall space or large whiteboard

## Before participants arrive

1. Divide whiteboard space into three vertical columns: 'What Went Well', 'What Needs Improvement', and 'Candidate Actions'.
2. Place pads of sticky notes and markers at every workspace.
3. Post the completed sprint dates and stated sprint goal at the top of the board.

## Say this to open

Welcome to our retrospective. Today we inspect how we worked together during the sprint just ended. We will identify what helped us, what slowed us down, and choose one or two concrete adjustments for the upcoming sprint.

## How to run it

### 1. Set stage and context (5 minutes)

Speak the opening script. Emphasize that the focus is on workflow, communication, and tools rather than individual blame. Give everyone 2 minutes to review their personal calendars, tickets, or notes from the sprint.

### 2. Silent generation (10 minutes)

Ask participants to write observations silently on sticky notes, one idea per note. Use green notes for 'What Went Well' and orange notes for 'What Needs Improvement'. Participants may submit as many notes as they want or only a single note.

### 3. Group and discuss (25 minutes)

Invite participants to place notes in the first two columns. Cluster related cards together as they go. Invite volunteers to explain their notes briefly if they choose. Read through each cluster aloud, keeping remarks brief so all themes fit the time.

### 4. Formulate candidate actions (10 minutes)

Shift focus to improvement clusters. Have participants form pairs, using their blue sticky note pads and markers to write concrete solutions. Form one trio if headcount is odd, or allow solo drafting. An example action is: 'Set a 4-hour review SLA for pull requests'. Post cards under 'Candidate Actions'.

### 5. Prioritize and assign (5 minutes)

Distribute 3 voting dots to each participant. Have members place dots on the candidate action notes that offer the highest value. Select the top one or two actions, confirm consensus, and assign a volunteer owner to carry each item into sprint planning.


## Debrief questions

- Which chosen action will have the most immediate impact on our daily work?
- How will we verify at our next retrospective whether this change solved the issue?

**Finished output:** One or two prioritized, clear process action items with named owners for the next sprint backlog.

## Remote

Use a digital whiteboard with three columns and a built-in countdown timer. Participants write cards silently during the generation phase. Invite volunteers to voice reflections on themes while respecting anyone who prefers not to speak. Use digital dot stamps for voting.

## Hybrid

Every participant accesses a single digital whiteboard on their individual device. Mirror the digital canvas on the shared room display. Remote and in-person members post, cluster, and vote within the digital workspace simultaneously.

## Access and participation choices

- Participants may submit thoughts anonymously on paper or digital cards without adding names.
- Anyone may choose to pass on speaking during open review rounds without explanation.
- Provide fine markers and thick felt pens to accommodate varied visual needs.

## If the session gets stuck

**Discussion turns into complaints about company policies outside team control.**

Refocus the room by asking what specific steps within the team's direct authority can soften that problem over the next two weeks.

**The team drafts ten broad improvements, risking zero follow-through.**

Limit the final selection strictly to the top one or two voted actions. Archive the remaining ideas for future cycles.
