# Q&A Feedback Board

Participants record questions and workshop feedback on an ongoing board at any time. The facilitator addresses urgent items, writes answers beside questions, and conducts short group reviews around breaks.

**Time:** 15 minutes. 15 minutes total allocated across the session for introduction, check-ins, and final review, while the board itself remains open continuously.
**People:** 4 to 24. Individual posting to a shared plenary board with brief whole-group check-ins.

## Choose this exercise

**Purpose:** Collect and respond to participant questions and pacing feedback throughout a session without interrupting the flow of presentation or group work.
**Use it when:** Multi-hour workshops, training modules, or multi-day sessions where participants need an ongoing channel for questions and session feedback.
**Skip it when:** Short meetings under 30 minutes where direct voice check-ins are faster, or sensitive reviews requiring formal confidential channels.

## Materials and tools

- 1 large poster board divided into Q&A and Feedback columns (in-person)
- 1 pad of sticky notes per participant
- 1 fine-tip marker per participant
- Wall-safe tape
- Shared digital board or document link (remote or hybrid)

## Before participants arrive

1. Divide the physical or digital board into two distinct sections: 'Q&A' and 'Session Feedback'.
2. Ensure the board is clearly visible and accessible to everyone throughout the session.
3. Post an example note in each section before participants enter.

## Say this to open

This board stays open throughout our session. The left side is for questions about the material. The right side is for feedback on our pace, clarity, or room environment. Post whenever an idea strikes. You do not need to wait for a speaking turn, and notes can be anonymous. We will check it before and after our breaks.

## How to run it

### 1. Introduce the board (3 minutes)

Point out the two sections of the board. Walk through the posted examples. Invite participants to add any immediate questions or setup feedback.

### 2. Continuous asynchronous posting (4 minutes)

Participants post notes whenever a question or observation arises during working blocks. Facilitator writes direct answers beside factual questions during group activities or breaks.

### 3. Mid-session board review (5 minutes)

Before or immediately after a scheduled break, pause the main agenda. Read aloud up to three unresolved questions and address any operational feedback that requires course corrections.

### 4. Final review and wrap-up (3 minutes)

Review remaining posted items before closing the workshop. Note any lingering questions that require follow-up after the session.

## Debrief questions

- Which unanswered question on the board should we tackle first?
- What adjustment helped your focus today after we shifted based on the feedback column?

**Finished output:** A populated board of answered questions and acknowledged session feedback notes.

## Remote

Use an online whiteboard or shared document divided into two columns: Q&A and Feedback. Participants post digital sticky notes or type bullet points at will. Set anonymous contributor mode if the platform supports it so participants can ask questions without attribution.

## Hybrid

Host the primary board online via a shared link accessible on mobile devices and laptops. Display this board on the main room projector so in-person and remote participants see the exact same view. If physical sticky notes are used in the room, assign a room co-facilitator to duplicate in-person notes onto the digital board in real time.

## Access and participation choices

- Participants may type, write physical sticky notes, or verbally request an item be added to the board.
- Posting is entirely optional; participants may observe without writing.
- Notes may be posted anonymously without names or initials.

## If the session gets stuck

**Participants do not post any notes and wait to interrupt verbally.**

Model the process by writing a common question yourself, or prompt the room with two minutes of dedicated quiet writing time right before the first break.

**Critical feedback on the public board causes defensiveness in the room.**

Acknowledge the practical concern calmly, focus on immediate operational fixes like adjusting volume or pacing, and move on without debating the author.

Retained the core mechanic from Knowmium's publication by Joshua Davies: maintaining ongoing parallel virtual/physical spaces for Q&A and session feedback, answered during breaks or group reviews. Added UWT structured time breakdowns, physical and hybrid facilitation instructions, explicit scripts, and access considerations.
