Whole group working with a single facilitator at one shared surface ## Choose this exercise **Purpose:** Map diverse associations and relationships around a single topic onto a shared visual diagram. **Use it when:** Use at the launch of an initiative or project when a group needs to scope a broad topic and identify interconnected sub-themes together. **Skip it when:** Skip when the goal is linear scheduling, numerical risk analysis, or when decisions have already narrowed down to an either-or choice. ## Materials and tools - 1 wide whiteboard or 2 to 3 large flip chart sheets taped together horizontally - Assorted dry-erase or flip chart markers (at least 3 different colors) - Sticky dot voting stickers (3 dots per participant) - Scratch paper (several sheets per participant) - Adhesive tape (if mounting paper to a wall) ## Before participants arrive 1. Clear a wide wall or whiteboard visible to all seats. 2. Write the chosen topic clearly in the center of the surface inside a central bubble. 3. Place scratch paper on participant tables and distribute 3 sticky dots to each participant. ## Say this to open Today we are building a collaborative mind map to explore our topic from the center outward. I will scribe your contributions onto the wall as we go. We will start with broad themes, expand into specific sub-points, look for connections across branches, and end by voting on our priority areas. You can speak up, raise a hand, or write an idea on scratch paper and hand it to me to add. ## How to run it ### 1. Frame the Topic (5 minutes) State the central focus written in the middle of the board. Deliver the opening script. Clarify what falls within this session's scope and confirm everyone understands the core question. For example, if the central bubble reads 'Customer Onboarding', define whether technical setup or contract signing marks the starting point. ### 2. Seed Main Branches (10 minutes) Ask participants to name 4 to 6 broad primary themes related to the center. Draw these as thick primary branches radiating outward in distinct directions. Stop once the major categories are established without adding details yet. ### 3. Build Out Sub-Branches (20 minutes) Focus the group on one main branch at a time. Ask participants to call out or hand in specific details, examples, and component ideas. Draw these as smaller sub-branches extending from the primary lines. Continue around all main branches until ideas taper off. ### 4. Cross-Pollinate and Connect (10 minutes) Ask the room to look across branches and spot relationships or tensions between different nodes. Draw dashed or colored linking lines between items that influence each other and note brief linking words along the lines. ### 5. Reflect and Prioritize (10 minutes) Direct participants to approach the wall and place their 3 sticky dots next to the ideas or branches they consider most critical to address first. Allow silent placing, then tally the clusters. Anyone may choose to pass without explaining. ### 6. Debrief (5 minutes) Review the top dot-voted clusters with the room. Ask 1 to 2 debrief questions and take 3 to 4 group responses in the remaining time. Record the agreed priority themes on a clean edge of the board. ## Debrief questions - Which branch showed the most unexpected connections once we mapped it out? - What critical gaps or blind spots are still missing from the diagram? - Based on the vote clusters, where does our focus need to go next? **Finished output:** A fully connected radial diagram on a shared board with dot-voted priority clusters identified for follow-up. Participants may keep individual notes private or pass on voting. ## Remote Use a shared digital whiteboard. The facilitator screenshares and scribes nodes in real time based on verbal input or chat messages submitted by participants. Use digital dot stamps for the prioritization phase. ## Hybrid Appoint a dedicated digital co-facilitator. In-person participants work at the physical board while remote participants view a direct high-resolution webcam feed or enter ideas into an identical mirrored digital board that the co-facilitator copies over. Remote participants vote simultaneously using digital markers or stamps. ## Access and participation choices - Offer scratch paper so participants can write down concepts and hand them to the facilitator instead of calling them out aloud. - Participants may choose to pass during any branch generation round or voting step without providing a reason. ## If the session gets stuck **One vocal participant monopolizes the branches with excessive detail.** Acknowledge the idea, scribe it as a single node, and explicitly direct the next question to someone who has not spoken yet. **The board runs out of space along a busy branch.** Use colored numbering or letter codes to anchor sub-lists on adjacent flip chart sheets, or summarize three related points into one node. ## Terms used here - Radial diagram: A drawing that starts from a single central idea and spreads outward in branching lines. ## Sources and adaptation Observed on WorkshopBank as 'Mind Mapping (facilitated) Workshop'.
